Brand Overview
Pure Seed, established in 1999, is a well-recognised online florist in Malaysia, serving customers across the Klang Valley with beautifully crafted floral arrangements for a wide range of occasions.
With a strong reputation built on artistic quality and customer satisfaction, Pure Seed had successfully grown its business over the years. However, as operations scaled, internal processes struggled to keep up with demand—particularly in order fulfilment and delivery coordination.
To address these operational inefficiencies, Pure Seed partnered with Flow Digital to develop a custom system solution tailored to their business workflow.
Project Description
Flow Digital designed and developed a custom fulfilment management system for Pure Seed, transforming their manual, paper-based workflow into a streamlined digital operation.
The system was built to centralise order management, automate task assignments, and provide real-time delivery tracking. By aligning closely with Pure Seed’s existing workflow, the solution ensures a seamless transition for users while significantly improving operational efficiency.
With a strong focus on usability and practicality, the platform empowers florists and delivery drivers to manage tasks more effectively, while providing management with greater visibility and control over the fulfilment process.
The Challenge
1. Customised System Requirements
Pure Seed’s fulfilment process involves multiple moving parts, including florists, delivery drivers, and order management teams. Designing a system that aligns with this workflow required a deep understanding of how each role interacts within the process.
The solution needed to bridge communication gaps, streamline coordination, and ensure that every step—from order creation to delivery—was connected within a unified system.
2. Time-Intensive Development
Building a fully customised system is not a one-size-fits-all process. It required:
- Detailed workflow analysis
- Iterative system design
- Continuous testing and refinement
The complexity of Pure Seed’s operations meant that every feature had to be carefully planned and validated to ensure it met real-world usage needs.
The Problem
1. Manual Labour & Paper-Based Processes
Pure Seed relied heavily on paper-based order assignments, where tasks were manually distributed to florists and delivery drivers. This approach created several issues:
- Increased risk of human error
- Slower processing time
- Lack of real-time visibility
These inefficiencies limited the team’s ability to scale operations effectively.
2. Manual Delivery Updates
Updating delivery statuses required manual input by staff, which was both time-consuming and resource-intensive. This led to:
- Delayed customer updates
- Increased operational workload
- Reduced overall efficiency
Our Solution
1. Requirement Analysis & Workflow Mapping
Flow Digital’s consultants engaged with Pure Seed’s staff to gain a comprehensive understanding of their requirements. This involved in-depth discussions to identify bottlenecks in the fulfilment process and the expectations and features to include in the new system.
2. Prototype Development
Flow Digital’s programmers got to work creating a prototype system based on the workflow and requirements agreed on. This prototype served as a foundation for further development.
3. Testing and Feedback
Throughout the process, our team liased with the Pure Seed team to receive feedback and make the required adjustments. We also involved the florists and drivers (end users) in the testing and feedback phases to ensure the system could fulfill their needs.
4. Deployment
After continuous testing and refinement, the custom Florist and Driver Management System was launched, which helped to streamline Pure Seed’s delivery fulfilment operations.
The Result
- Streamlined Processes: The new system drastically sped up the fulfillment and delivery department’s operations, reducing manual intervention and the chances of errors.
- Customer Notification: The new system included a delivery status notification feature that kept customers informed of their orders in real-time, increasing customer satisfaction and inquiries.
- Efficient Assignment: The new automated system allowed florists and delivery drivers to efficiently process new orders with the new system.
- Order Tracking: An integrated tracking log provided valuable insights into the order fulfilment process and allowed for proactive problem-solving.
